5 Ways to Cut No-Shows With Online Booking

A missed appointment costs more than the lost booking slot -- it's the staff time you blocked out, the client who couldn't book that same slot, and the admin work of chasing a reschedule. Most no-shows aren't malicious; they're just forgotten. Here's what actually moves the needle, and how to turn each one on if you're using ScheduloApp.

1. Require a deposit for new or high-value bookings

Clients who've put money down show up. You don't need to charge the full price upfront -- even a small deposit changes the commitment calculus enough to cut no-shows noticeably, especially for first-time clients or longer/pricier services.

In ScheduloApp: go to Settings > Payments and turn on deposits. You can set it as a flat amount or a percentage of the service price, and it applies automatically at checkout -- no per-booking manual work.

2. Send an automatic reminder the day before

A huge share of no-shows are simple forgetfulness, not a change of heart. A reminder sent 24 hours out gives someone enough time to reschedule if they genuinely can't make it, instead of silently not turning up.

In ScheduloApp: this runs automatically for every confirmed booking, by email and push notification (if they have the app) -- nothing to configure. If a client wants to opt out of email reminders specifically, that's controlled from Settings > Notifications on your side, and from their own account on theirs.

3. Make cancelling or rescheduling easy -- on purpose

Counterintuitively, a strict "no cancellations" policy often increases no-shows: if changing a booking is a hassle, a client who can't make it anymore just doesn't show up, rather than going through a tricky cancellation flow. Letting people reschedule themselves, up to a sensible cutoff, keeps your calendar honest.

In ScheduloApp: your payment policy settings control whether clients can cancel/reschedule themselves and how close to the appointment that's still allowed. A sensible default is 24-48 hours.

4. Use buffer time to protect against back-to-back slippage

This one's less about no-shows and more about the appointments right after one running late -- which, left unmanaged, cascades into a client showing up to find you're still finishing the previous booking, and the whole day drifts. A consistent buffer per service keeps your actual calendar matching what clients see.

In ScheduloApp: each service has its own buffer time setting (Settings > Services), added automatically on top of its duration when generating available slots -- clients never see a slot that doesn't actually leave you enough room.

5. Let clients pick a specific team member if that's what builds trust

Some clients no-show because the booking felt impersonal -- they booked "a slot," not an appointment with someone specific. For businesses where the relationship matters (hairdressers, personal trainers, consultants), letting clients choose who they're seeing increases follow-through.

In ScheduloApp: assign 2 or more team members to a service (Settings > Services) and a "choose a team member" step appears automatically on your booking page for that service, including an "Any Available" option for clients who don't have a preference.

None of these need to all be turned on at once -- start with automated reminders (already on by default) and a deposit on your highest-value service, and see what changes before adding more. The Help Centre has the full rundown of how each setting works if you want more detail.
