How Payouts Actually Work: Pending Balances, Schedules, and Getting Paid Faster

A client pays for their booking, and your Wallet shows the money -- but part of it as "pending," not "available." It's the single most common question business owners ask after their first week of taking online payments, so it's worth explaining properly rather than just as a tooltip.

Two separate things are happening, not one

It's easy to assume "pending" just means "the bank is slow," but there are actually two independent mechanisms stacked on top of each other, and understanding the difference tells you what you can and can't speed up.

1. The holding period (pending → available). When a card payment comes in, Stripe (which processes every payment on ScheduloApp) holds those funds for a few days before they count as "available" balance at all. This is a risk control, not a banking delay -- it protects against chargebacks and refund requests on a transaction that's only hours old. The exact number of days depends on your account and country, and it isn't something ScheduloApp or you can simply switch off; it's shown directly under your pending balance on the Wallet page so you always know the real number for your account, not a guess.

2. The payout schedule (available → your bank). Separately, once funds are available, how often they actually get swept out to your bank account is a setting you do control -- Daily, Weekly, Monthly, or Manual-only. This is the part that's commonly confused with the holding period above, but they're genuinely independent: tightening your payout schedule to "daily" doesn't shorten the initial holding period, it just means available funds don't sit around waiting for a weekly or monthly sweep once they've cleared that hold.

What you can actually do about speed

Given that split, here's what's worth doing if cash flow timing matters to your business:

  • Set your payout schedule to Daily (Settings > Wallet) if you're currently on Weekly or Monthly. This has zero downside for most businesses -- more frequent payouts, same total amount, no extra fee -- and it's the single biggest lever you control.
  • Use "Withdraw Now" for anything already available. Whatever your schedule, a manual withdrawal of your current available balance works any time, independent of the schedule -- useful if you need funds today and don't want to wait for the next scheduled sweep.
  • Don't fight the holding period. It's genuinely not adjustable by changing a setting in the app -- it's Stripe's own account-level risk assessment, and the number shown on your Wallet page is the real one for your account, not a platform default.

Why this matters more for a new business

If you're a brand-new Stripe Connect account, the holding period tends to be on the longer side until you've built a track record of clean transactions -- this is standard and not specific to ScheduloApp. It typically shortens over time as your account ages and processes more volume without disputes. In the meantime, Daily payouts plus Withdraw Now for anything urgent is the most you can do to keep cash moving.
